Privacy Policy
Last updated:
Mentora is an online tool that helps teachers create exams, grade them with the help of AI, and see what each student understood. This policy explains what information we collect when you use usementora.com and the Mentora app, how we use it, who we share it with, and the choices you have.
Mentora is operated by [TO BE DEFINED: legal entity name], [TO BE DEFINED: postal address] (“Mentora,” “we,” or “us”).
The short version
- You sign in with Google. We never see or store your Google password.
- We use student information only to run Mentora for students and their teachers. We never sell it, never use it for advertising, and never use it to train AI models.
- Written answers are graded by AI against the teacher’s rubric, and the teacher stays in charge: grades the AI is unsure about wait for the teacher’s review, and teachers can change any grade.
- You can delete your account from your Profile page at any time. Deletion is immediate and permanent.
- Mentora is for teachers and for students 13 and older.
Who this policy covers
- Teachers, who create classrooms and exams, invite students, and may subscribe to a paid plan.
- Students, who join a teacher’s classroom and take the exams the teacher publishes. Students never pay for Mentora.
- Visitors, who browse usementora.com or join our waitlist.
When a teacher uses Mentora with students, the teacher (and their school, where one is involved) decides which students to invite and what to assess. We process student information on their behalf. See Students, schools, and children.
Information we collect
From Google, when you sign in
Mentora uses Google sign-in only. Google shares your name, email address, profile photo, and a unique Google account ID with us. We ask Google only for basic profile information (the “openid,” “email,” and “profile” permissions), so we have no access to your Gmail, Drive, contacts, or calendar, and we don’t keep any Google access tokens. We only accept Google accounts with a verified email address. Your profile photo is displayed from Google’s servers.
When you set up your account
Your role (teacher or student), your preferred language, and, if you choose to add them, your location and country. You can change your name, location, country, and language in your profile at any time.
Students are asked for their date of birth to confirm they are 13 or older. We use it only for that check and do not store it.
Teachers’ content
Classrooms (name, subject, grade level, description, join code, and settings); the email addresses you invite; exams, questions, answer keys, rubrics, and topics; saved exam setups; grades you change and notes you add; and the reports Mentora writes about your exams and classes.
When you ask the AI to write questions, you can paste in your own teaching material. We send it to our AI provider to generate the questions, but we don’t save it on our servers.
Students’ work
The classrooms you belong to; your exam attempts (when you started and finished, and how long you took); your answers; your scores; the AI’s evaluation of your written answers (which points of the rubric your answer covered, any misconceptions it showed, and how confident the grader was); the feedback written for you; any grade changes and notes from your teacher; and estimates of how well you know each topic, calculated from your graded answers.
Billing (teachers only)
If you subscribe, payment is handled by Dodo Payments, our merchant of record. We share your name and email address with Dodo Payments to set up your customer record. You enter your payment details directly with Dodo Payments; we never see or store your card number. We keep your plan, subscription status, billing dates, and the payment and subscription notices Dodo Payments sends us. We also count how many AI requests your account uses each month, to apply your plan’s limits.
Waitlist
If you join the waitlist, we keep your email address, the language of the page you were reading, which page or section you signed up from, and, if you tell us, how you plan to use Mentora (for your own classes or for a school).
Messages you send us
If you email us, we keep the conversation so we can help you.
Technical information
- Our servers keep basic request logs: the address requested, the response status, a request ID, and, if you’re signed in, your account ID. Our hosting provider also processes standard connection data, such as your IP address, to deliver and protect the service. We use IP addresses briefly, in memory, to limit how many requests can be made (to stop abuse).
- When you open the app, our hosting provider tells us which country your connection comes from. We use it only to choose a default language.
- When AI grades an answer, we record which AI model handled it, how long it took, and whether it succeeded, so that every grade can be traced.
- On our public website pages, we use analytics. See Cookies and similar technologies.
How we use information
- To provide Mentora: signing you in, running classrooms, delivering exams, grading answers, and showing results and reports.
- For AI features, as described in How Mentora uses AI.
- To send service emails: classroom invitations, reminders before a free trial ends, notices about payment problems or when a workspace becomes read-only, and the waitlist confirmation. If you’re on the waitlist, we’ll also email you when your spot is ready. We don’t send advertising emails.
- For billing and to apply plan limits.
- To keep Mentora secure: protecting accounts, preventing fraud and abuse, and limiting excessive requests.
- For support and troubleshooting: authorized Mentora staff can access account information, including viewing the app as a specific user sees it, when needed to answer a support request, investigate a problem, or protect the service.
- To improve our website, using the analytics described below.
- To comply with the law and enforce our Terms of Service.
We don’t sell personal information, we don’t share it for targeted advertising, and we don’t show ads in Mentora.
How Mentora uses AI
Mentora uses OpenAI, through its API, to:
- suggest exam descriptions and topics, and write questions, answer keys, and rubrics, from the exam title, subject, topics, and any teaching material the teacher provides;
- grade written answers against the teacher’s rubric, and write feedback for students;
- write reports for teachers about an exam and about how their class is doing over time.
Multiple-choice answers are graded automatically by comparing them with the answer key. No AI is involved.
What OpenAI receives. To grade a written answer and write feedback, OpenAI receives the question, the reference answer, the rubric, and the text of the student’s answer, but not the student’s name or email address. Exam reports are written from class-wide statistics without names.
By default, OpenAI does not use data sent through its API to train its models. OpenAI may keep API data for a limited time to monitor for abuse, under its own policies. Mentora never uses student data to train AI models.
AI can be wrong. Grades the AI is unsure about are held for the teacher to review before the student sees them, and teachers can review and change any grade. The teacher remains responsible for final grades.
Students, schools, and children
Students must be 13 or older
Mentora is not directed to children under 13, and we don’t knowingly collect personal information from them. When a student signs up, we ask for their date of birth. If they are under 13, we immediately delete their account, including what we received from Google. If you believe a child under 13 has given us personal information, contact us at support@usementora.com and we will delete it.
We act for the teacher and the school
When a teacher uses Mentora with students, we process student information on behalf of, and under the direction of, the teacher and, where applicable, their school. Where the Family Educational Rights and Privacy Act (FERPA) applies, Mentora acts as a “school official” with a legitimate educational interest: we use education records only for the purpose they were shared with us, and the school keeps control over them.
Our commitments about student information:
- We use it only to provide Mentora to students and their teachers.
- We never sell it.
- We never use it for advertising, including targeted advertising.
- We never use it to train AI models.
- We never use it to build a profile of a student for any non-educational purpose.
- We share it only with the service providers we need to run Mentora (listed below), or when the law requires it.
Who can see what
A classroom’s teacher can see each student’s name, email address, profile photo, answers, scores, time spent, feedback, and topic progress in that classroom. Other students in the same classroom can see a student’s name and profile photo, but not their email address, answers, or grades.
Requests about student records
Parents and eligible students can ask the teacher or school to review or correct student records. You can also contact us at support@usementora.com, and we will work with the teacher or school to respond.
How long we keep information
- Account and classroom data stays as long as your account exists. When you delete your account, it is removed from our live database immediately.
- Sessions expire after 7 days without activity, and deleting your account signs you out on every device.
- Backups: deleted information can remain in our database backups for up to [TO BE DEFINED: backup retention window] before it is overwritten.
- Billing records: records of subscription and payment events can be kept after an account is deleted, as needed for accounting, tax, and legal purposes [TO BE DEFINED: retention period for billing records]. Payment records held by Dodo Payments follow Dodo Payments’ own retention policies.
- Waitlist entries are kept until you ask us to remove yours, or until you delete a Mentora account with the same email address.
Deleting your account and your other choices
Delete your account
You can delete your account at any time from your Profile page. Deletion is immediate and permanent, and it can’t be undone. It removes:
- your account and profile, and any waitlist entry under the same email address;
- for teachers, your classrooms, your exams, and the students’ submissions in them (your students lose access to those exams and their results);
- for students, your answers and results, which also disappear from your teachers’ classrooms.
If you have an active paid subscription, it is canceled as part of the deletion. If we can’t cancel it, your account is not deleted, and we’ll ask you to try again or contact us.
Access, correct, or export your information
You can update your name, location, country, and language in your profile. To ask for a copy of your information, or to correct something you can’t change yourself, email support@usementora.com from the address on your account. Students can also ask their teacher to correct a grade.
Depending on where you live, you may have other rights under local law, such as the right to know what we collect about you. We won’t treat you differently for using any of these rights.
Security
- Every connection to Mentora uses HTTPS.
- You sign in with Google, so we never store a password for you.
- Sessions are stored on our servers and can be ended instantly. The session cookie can’t be read by scripts on the page.
- We protect against cross-site request forgery and limit how many requests can be made.
- Only a classroom’s teacher can see its students’ answers and grades, and answer keys stay on our servers while students take an exam.
No system is perfectly secure. If a security incident affects your information, we will notify you as required by law.
Where information is processed
Mentora is launching in the United States. Our service providers process information in the United States and in other countries where they operate. [TO BE DEFINED: production database provider and region.] If you use Mentora from outside the United States, your information will be transferred to and processed in those countries.
Changes to this policy
When we change this policy, we’ll post the new version here and update the date at the top. If a change is significant, we’ll tell account holders by email or in the app before it takes effect.
